I'm the office administrator who ends up buying lighting for the building. In my job I process about 60-80 purchase orders a year, and honestly, a lot of those involve something that hangs from a ceiling. I'm not an electrician, but I've become the person who reads product specs, compares model numbers, and explains to finance why the cheapest bulb isn't always the least expensive one.
The first thing I learned is that there is no universal lighting setup for offices. The right choice depends on what fixture you have, how long the light stays on, and whether a wall switch needs to control it. So I use scenarios. Find your fixture type, and the buying decision gets easier.
My experience is based on roughly 40 lighting orders across two offices and a retail display space. If you're sourcing for a warehouse, hospital, or hotel, your product list will look very different. But for ordinary offices, these three situations cover most of what I deal with.
Scenario 1: Standard fixtures that run during work hours
For cubicles, conference rooms, and operations areas with standard medium-base sockets, my default is the Satco 3000K LED bulb. 3000K is a color temperature that reads clean but doesn't feel cold. It's a little warmer than 3500K and much less blue than 5000K, so people under it all day don't feel like they're sitting in a supermarket. Consistency matters just as much. Once a room is filled with 3000K bulbs, all of the fixtures should match. I mixed 2700K and 4000K in one room once, and it looked like a patchwork. I ended up ordering again to fix it.
I have bought cheaper 3000K bulbs before. You can always find something that costs less per bulb. But if the output is lower, you might need a second order or an extra fixture to get the same light. On one batch order, I projected a saving of about $40, then spent $60 on a reorder and paid a maintenance worker to change bulbs twice. The total cost made the original price difference pointless. Now I compare useful lumens and expected life before I look at the price.
Scenario 2: Lobbies, pendants, and exposed fixtures
Front lobbies and conference rooms with exposed bulbs are a different case. A normal white LED looks harsh when you can see the actual bulb. For those fixtures, I chose the Satco edison-style medium base ST19 LED bulb. It gives that vintage clear-glass look with visible filaments, but it's an LED, so it doesn't consume much power or throw off a lot of heat. Since it uses a medium base, it fits the same sockets as standard bulbs, which means no special pendant adapter.
I should have ordered a sample before choosing the first decorative LED bulb I bought for that space. At the time, I was comparing only shape and socket type, not color consistency. When the bulbs arrived, some looked pinkish and some looked amber next to each other. The Satco ST19 bulbs were much more consistent across the same row. That consistency is hard to see on a product page, but it prevents a lot of annoying callbacks.
If you have display lighting, the same color logic applies. For track heads or accent lights aimed at artwork or merchandise, choose a consistent color temperature too. A room that is 3000K can feel off if the spotlight lighting over a sign is 5000K or 2700K. Beam angle matters as well, but the color match is the part people notice first.
Scenario 3: Recessed downlights and motion sensor switches
Recessed downlights are where I wasted the most time early on. If you have a basic metal can, the obvious approach is to screw in an LED bulb and move on. That works in many cases. But when the downlight is in a ceiling with insulation, the housing rating determines what you can install.
An old can with insulation sitting on top needs to be rated for insulation contact or protected by the correct kind of cover. In one break room, our electrician found insulation sitting against the junction box above the fixture. That wasn't acceptable for the retrofit module we planned. We stopped the project, ordered the right downlight jacket, and then finished the installation. It added one day to the schedule and a small line item to the invoice, but it cost much less than failing a rough-in inspection and opening up the ceiling again.
Now I ask two questions before any can retrofit. First, is insulation touching the fixture? Second, does the LED retrofit module require an adapter bracket? The screw base is not the only spec to match. If the project might qualify for a utility rebate, I also check the product on the DLC qualified products list, because that list is what many rebate programs use.
The other part of a downlight project is the wall switch. Hallways, bathrooms, and storage rooms are the easiest places to save energy by adding a motion sensor switch. It turns off lights that people would otherwise leave on for hours.
If you look up how to install motion sensor switch online, you'll find confident videos showing a simple swap: turn off power, connect wires, test. What those videos can't tell you is whether your wall box has a neutral wire and whether the switch is part of a three-way circuit. In older commercial buildings, that is exactly where things get complicated. A motion sensor switch that needs a neutral won't work if the box only has hot wires. And if two switches control the same light, a standard single-pole sensor isn't enough.
Before ordering a sensor, send someone to check the switch box. Ask maintenance to take a photo. Look for a group of white wires and count the number of switches that control the same light. That two-minute check has saved me from ordering sensors that would never work with the existing wiring. The actual wire connections should be left to a licensed electrician. My job is to make sure the correct sensor arrives before the electrician does.
How to tell which scenario is yours
If you're not sure which of these applies, don't buy anything yet. Take one bulb out of the fixture and read the label. If the old lamp says A19 and it's in a regular open fixture, start with Scenario 1. If the bulb is visible and part of the fixture's design, start with Scenario 2. If the light is recessed in the ceiling, start with Scenario 3 and answer the insulation question first.
For accent fixtures that use a reflector lamp such as BR30, treat the housing like a downlight and don't just pick an A19 replacement. The screw base might fit, but the beam pattern will be wrong. For anything that requires aiming at a wall or an object, you're really choosing spotlight lighting with a specific beam angle, not a general-purpose bulb.
To sum it up: the most expensive lighting purchase is the one you buy twice or the one that fails in a hard-to-reach fixture. Satco is not always the lowest price on the shelf. But when I add up maintenance visits, color mismatches, and failed inspections, the modest difference in unit price becomes a good deal. Look at the total cost, not just the number on the price tag.
